First Stage:
Receiving the inquiries and documents from clients

The translation process kicks off with an inquiry received from a client through an email or a phone call. Our administrative support team attends to all the client’s inquiries, giving them all such initially required information. If the client decides to order the translation, he is requested to send us the document subject matter of translation. At MELT, we deal with all documents in any format including Word, Excel, PowerPoint, PDF, JPG, or PNG, etc. However, the editable documents are usually preferable to shorten the time of translation which is ultimately in the best interest of the client in terms of speed of completion.

Second Stage:
Technical Evaluation

Our technical team reviews the document, assesses it in terms of size  and technical features, and ultimately categorizes into one of the following fields:

  • Legal document
  • Scientific document
  • Financial document
  • Commercial document
  • Information Technology document
  • Industrial document
  • Engineering document
  • Media and Marketing document
  • Academic document
  • Administration document
  • General document
  • Other documents related to different areas (for example, museums, heritage, arts, education, sports, police and military sciences, oil fields, etc.)
Third Stage:
The technical proposal and the quotation:

In this stage, the client is advised on the details related to the study conducted on his document, and he receives a technical proposal and quotation with the following details:

  • The word count (number of words) in the source document, the expected output number of words in the target language, and the number of the pages expected to be produced.
  • The cost of the translation based on the expected number of words in the target language.
  • Delivery deadline
  • The format of the file to be delivered to the client upon the completion of translation (Softcopy: MS Word, MS Excel, MS PowerPoint, JPG Form, PNG Form, or a printout signed and stamped by a legal translator approved by the Ministry of Justice in the U.A.E. etc.
  • The technical details and other conditions, if any.

Fourth Stage:
Assignment of Translation Job

If the client accepts the technical proposal and the quotation, a specialized translator will be assigned to do the translation job. For example, if the source document is a medicine-related document (such as a medical report), a medical doctor will be assigned to do the translation. If the job is huge in volume and if the client wishes the translation to be done within a short time, a translation husking bee is set up to carry out the project. This team works under the direct supervision of our senior translator who goes through the document, specifies and translates the jargons, before assigning the job to the translators. Our senior translator provides the team translators with the jargons, making the process of proofreading easy and quick before final delivery to ensure a high quality output.

Fifth Stage:
Translation

At this step, the translator translates the document based on the technical standards applicable at Middle East Legal Translation. Should need arise ,the translator may request more information and clarification related to the spelling of persons’ names as per passports, companies’ names as per trade licenses, etc., making sure that all names are written correctly in the translation output.  Coordination remains in operation among all project team members.

Sixth Stage:
Proofreading

The legal translator, duly approved by the Ministry of Justice in the U.A.E., proofreads the translated document, and coordinates with the other working translators, if so required, in order to ensure the accuracy of:

  • Grammar
  • Spelling
  • Meanings
  • structure
  • Technical terms
  • Conformity and Consistency of Terms (Example: If a translator uses the word “director” in a certain context, and then he uses the word “manager” in another, the proofreading translator, in this case, unifies the terms choosing either “manager” or “director”, as fits best depending on the context.
Seventh Stage:
Formatting

In this stage, the administrative and technical support team makes the final touches on the translated files in terms of format and printout as follows:

  • Font size, font color, line spacing, numbers, names, etc.
  • Tables, schedules, and other charts’ format
  • Shapes and drawings (only if so agreed in the quotation issued to the client)
  • Pages Numbering
Eighth Stage:
Client's Feedback

The translated document is sent to the client for feedback. In this stage, the translation output file is sent to the client for final feedback before final delivery. The communication is set open between the client and the concerned translator, ensuring full understanding of client’s comments, if any.

Ninth Stage:
Amendment

After studying and understanding the amendments suggested by the client, amendments are made based on technical, ethical, and legal principles and standards.

Tenth and Final Stage:
Deliver Final Document & Invoice to Client

The final translation output file is sent or delivered to the client along with the invoice. The translated file is sent in its final form as agreed upon in the technical proposal and quotation, attached with the invoice.
